Job Description
The individual in this role provides comprehensive administrative and operational support for employee training, payroll, employment processes, and special HR initiatives at UT Martin. This position is responsible for organizing and coordinating a wide range of training programs and workshops, serving as the Campus Learning Administrator for the K@te learning management system, and maintaining accurate training records in compliance with institutional and regulatory standards. The role supports onboarding and skills training for systems such as DASH, Excel, and Banner, in collaboration with HR consultants. In addition to training support, the position assists employees and departments with payroll-related functions, including time sheet processing, payroll deadlines, and deduction reporting. The individual also facilitates employment and verification processes for various appointment types and ensures accurate data entry for personnel transactions such as terminations, position changes, and new assignments. This role further contributes to the success of university-wide HR events by providing logistical and administrative support. This position requires strong communication, organizational, and technical skills, along with the ability to manage multiple priorities in a fast-paced environment.



Responsibilities
SUPPORT TRAINING: Organizes and coordinates training sessions, workshops, and seminars for university employees. Communicates training schedules, session details, and participation requirements to employees and supervisors. Manages logistics such as venue reservations, materials preparation, and equipment setup. Serves as the Campus Learning Administrator for K@te, ensuring accurate maintenance of training records, certifications, and attendance. Tracks training participation and effectiveness; ensures compliance with institutional policies and regulatory requirements. Assists in the development, preparation, and distribution of training materials and resources. Maintains and updates training content in K@te and on the HR OneSpace platform. Provides technical support for online training and e-learning systems. Coordinate with safety officer and facilities to ensure required trainings are tracked and recorded appropriately. Delivers onboarding training for DASH users, including navigation and Human Capital Management (HCM) functions. Coordinates skill-based training sessions (e.g., Excel, DASH, Banner) in collaboration with the HR Employee Relations Consultant.

SUPPORT PAYROLL: Assists employees with accessing and submitting time sheets, setting up direct deposits, and reviewing payslips. Enters signed, approved time sheets on behalf of departments when technical issues prevent normal submission. Monitors time sheet statuses and communicates with departments to ensure timely submission on payroll deadlines. Sends campus-wide reminders and communications related to payroll and timekeeping deadlines. Calculates and submits approved payroll deductions to the Bursar's Office and provides reports as required.

SUPPORT EMPLOYMENT AND VERIFICATION PROCESSES Assists departments with entering job requisitions and troubleshooting issues related to hiring for non-search positions (e.g., student workers, adjuncts, temporary appointments). May process routine employment-related transactions including E-Verify verifications, and tuition/fee waivers.

TRANSACTION PROCESSING AND MESSAGE ROUTING Processes personnel transactions, including terminations, position changes, new appointments, and assignment updates when needed, especially when cross-department coordination is required. Coordinates hr@utm.edu emails, in conjunction with the administrative assistant, to assist with routing of more complex office requests. Assists with the reassignment and routing of annual performance review documentation.

SPECIAL EVENTS SUPPORT Provides logistical and administrative support for HR-led events such as benefits enrollment, benefits fairs, employee engagement initiatives, and other campus-wide HR programs. Other duties as assigned.


Qualifications
Minimum Qualifications
High school diploma and five years of relevant experience, or an equivalent combination of education, training, and experience.
Knowledge of general human resources practices, with the ability and willingness to learn related policies and procedures.
Ability to work effectively in a structured, policy- and procedure-driven environment.
Strong interpersonal and communication skills with the ability to provide exceptional customer service.
Ability to effectively organize, prioritize, and manage multiple tasks to meet deadlines.
Exceptional attention to detail, accuracy, and follow-through skills.
Ability to utilize human resource management systems and Microsoft Office Suite (especially Excel).
Ability to be adaptive to support office priorities and needs.
Ability to handle sensitive and confidential information with discretion and professionalism.

Preferred Qualifications
Proficiency in the use of DASH (UT's HR/payroll system), with a working knowledge of Human Capital Management functions or K@TE learning management.
